Administrative Assistant

The Administrative Assistant performs administrative and office support activities for the IT department.
Essential Functions:
Duties may include fielding telephone calls, receiving and directing visitors, word processing, filing, and sorting mail.
Handle administrative requests and queries from senior management. Performs special projects as required, and handles additional duties and responsibilities as assigned by the CIO and direct reports.
Organize some aspects of senior management's calendar, managing and prioritizing requests.
Prepares various reports that involve gathering data, summarizing information, and compiling into appropriate format.
Coordinate logistics for meetings and travel, preparing and distributing materials & agendas; create power point presentations; reserve and prepare facilities; ensure all parties are informed of schedule, location, changes and other logistics and other expense reports.
Coordinates events, i.e., conference calls, team meetings and ad hoc meetings. Prints, assembles, and organizes documents for executive staff members.
Provides administrative support in the preparation of the annual budget for the assigned organization area and monitors and tracks expenditures with approved budget allocations.
Processing and payment of all department invoices.
Take notes and minutes and accurately and timely send out to team as necessary.
Build and edit Power Point presentations.
Overall department maintenance: Administrative filing, supplies, storage closets.
Ensures that the office administrative functions are effectively carried out, keeping informed of departmental/division activities.
Required Qualifications
Bachelor's degree from a four-year college or university; or at least 2 years of specific experience and/or training related to the essential functions of the job; or equivalent combination of education and training.
Expert level in Microsoft Office (Outlook, Word, Excel, and Power Point).
Excellent written and verbal communication skills.
Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
Demonstrates independent to advanced decision making for complex problems by utilizing critical thinking, analysis and creative problem solving.
Outstanding time management skills, with proven ability to accomplish numerous tasks and changing priorities in an effective and timely manner; demonstrated ability to execute on short-term, deadline-driven tasks daily, as well as important, long-term projects requiring collaboration with multiple parties.
Positive, proactive and adaptable.
Highly resourceful team-player, with the ability to also be extremely effective independently and as a team.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
